Fees and costs

The delegate registration fee includes attendance at the congress on Wednesday, Thursday and Friday; all Congress materials, including a USB memory stick containing the papers; lunch on Thursday and Friday; the receptions on Wednesday and Thursday; the Gala dinner on Thursday evening; dinner on Wednesday, Friday and Saturday; the Congress visit on Saturday; and four nights accommodation at the College on 23rd, 24th, 25th and 26th September 2009

All extra costs incurred during your stay at the College will have to be paid for in £ sterling at the time of purchase.

Accommodation

Bedrooms are available to check in from 14.00 hours on 23 September and keys will be available at the Conference Registration Desk. If you are arriving prior to 14.00 hours on 23 September your luggage can be stored in the Porter’s Lodge. Please ensure that your luggage is clearly labelled. If you are arriving before or after 23 September your key will be available from the Porters’ Lodge for collection and your room will be available from 14.00 hours on the day of your arrival. Delegates who have paid for additional accommodation on 22 September will have access to their rooms from 14.00 hours on 22 September.

Broadband Internet Access is available free of charge in the bar/conservatory area of the College.

Your room has en-suite and tea/coffee making facilities but no hairdryer. Please do not forget to bring an adaptor plug with you if you are bringing any electronic equipment.

You are requested to vacate your room by 09.30 hours on the day of departure (other than Sunday) and your luggage may be stored with the porter. If you are leaving on Sunday you may vacate your room at 11.00 hours.

This venue has a strict no-smoking policy in the buildings and in the grounds.

Getting to Queens’ College

You are strongly recommended to use public transport or taxis to get to Queens’ College as there is no car parking at the College.

Queens’ College is located where Silver Street crosses the River Cam: view map. The main entrance and the Porters' Lodge are on Silver Street. On arrival please go to the Porters' Lodge where you will be directed to the Conference Registration Office. See the site plan for internal directions.

Queens’ is within walking distance of the Cambridge bus/coach station at Drummer Street. See the bus/coach services. Queens’ is approximately thirty minutes walk from the railway station so you may prefer to take a taxi. See the train services.

A convenient way to travel from Europe is by Eurostar and you can book your ticket through to Cambridge. You would need to change from St Pancras to Kings Cross station but the stations are adjacent to each other in London.

The nearest airport is London Stansted although there are also good bus and coach services to and from London Heathrow and Gatwick.

Flex-Able Travel Ltd offers a chauffeur-driven car service and is offering reduced rates for CEDR Congress 2009 delegates. Please quote CEDR 2009 when booking and contact them direct to make arrangements.

Registration

Registration will take place in the Conference Registration Office on Wednesday 23 September from 14.00–17.00 hours. Registration will be by family name in alphabetical order. If you send a substitute delegate to the Congress and you have been unable to notify us before the event, please ask your substitute to ensure that your name is altered on the registration list. Your welcome pack with the Congress USB memory stick containing the Congress papers and name badge will be distributed at registration.

Venue Information

There will be no smoking during the Congress and you are requested to turn off your mobile telephone/Blackberry during the Congress working sessions. This is necessary to avoid any interference with the PA system. Please note the emergency exits in the meeting rooms. In the unlikely event of an emergency evacuation a member of staff will direct you. Please ensure that you keep your personal possessions with you at all times.

Wednesday 23 September – Golf morning

If any delegates are interested there may be an opportunity to play golf at Mildenhall (about 45mins from Cambridge) on the morning of 23rd September, starting at about 10.00 am. The course is 18 holes but not long or difficult. Club hire would be available.

Wednesday 23 September – 17.30 hours

The opening session will take place in the FitzPatrick Hall and will be followed by the welcome reception in the Old Hall. The dinner will take place in the Cripps Dining Hall.

Special dietary requirements

If you have any special dietary requirements (including vegetarian) but did not state this on your original application please email Clare Ostler at Conference Management Services as soon as possible so that the necessary catering arrangements can be made.

Access for disabled delegates

If you require assistance please email Clare Ostler at Conference Management Services immediately in order that necessary arrangements can be made with the College. It would be helpful if you would let us know your approximate time of arrival so we may ensure that a member of staff is available to meet you.

Additional information

There will be simultaneous translation into English, French and German at the working sessions on Thursday and Friday.

In September the temperature in Cambridge can range from 10°C to 17°C. It is advisable to bring a coat and umbrella.Please visit BBC Weather | Cambridge for the latest weather forecast.
